Walkaround videos that actually go through, and faster photo review

Mostly repair work. VIN photo scanning is working again, walkaround video no longer costs you a check-in when it fails, and photos are far quicker to look through. The tools also have a new look that matches the merch dashboard.

A failed video no longer loses your check-in

This is the big one. If the walkaround video failed to upload, the entire check-in was thrown away — every photo and every field you had just filled in. The record is now saved first. If the video doesn't make it, you get a note telling you so, and you can attach it afterwards from Add Photos / Video. Same for check-outs.

VIN photo scanning works again

Scanning a VIN plate had been failing with “Photo OCR Failed — Unknown route.” A behind-the-scenes change had disconnected it. Photograph the VIN plate and it reads the number as before, then hands it to you to confirm.

Quick Action now works on phones

Choosing Check-In, Check-Out or Mark as Sold from the Quick Action menu did nothing on a phone, while working fine on a computer — the phone was silently blocking the new tab. It now opens the check-in tool directly.

Upload errors say what actually went wrong

A failed upload used to report something like “Unexpected token '<'”. It now tells you the real problem — most often that the video is too large — and what to do about it.

Walkaround video in several takes

A check-in now accepts as many takes as you need instead of a single clip. Each clip has to be under 95 MB — roughly a minute at 4K, or three to four minutes at 1080p — so for a longer walkaround, film it in shorter takes and add them all. The form tells you the limit up front, and refuses an oversized clip straight away rather than failing at the end.

Swipe through photos instead of opening each one

Tap any photo on a vehicle record and page through every photo in that car's history — swipe on a phone, arrow keys on a computer. Each shot is labelled with where it came from, like “Front Exterior — Check-In · Sat, July 4”.

Filter and sort a car's history

A vehicle's Event Timeline can be filtered to just check-ins, check-outs or returns, or to a specific date — the date list only shows days that actually have events, with a count.

Newest visit first

A car's most recent check-in used to sit at the bottom of its history, below everything older. The timeline now opens newest-first, and you can flip it to oldest-first if you want to read a car's story from the beginning.

New look

The dashboard now uses the same typefaces and colours as the merch dashboard, so the tools feel like one system. Text and colour contrast were checked against accessibility standards throughout.

Faster check-ins, smarter work tracking

A big update focused on doing more from the vehicle record itself — start a check-in or check-out in a couple of taps, keep concierge work up to date as it changes, coordinate marketing photos, and find a car even without its VIN.

Quick Actions on any vehicle

Open a car's record and use the Quick Action menu to start a Check-In, Check-Out, or Mark as Sold — no need to go re-scan the VIN. The menu only offers what makes sense for that car's current status.

Add or change work after check-in

The new Add Work button on a vehicle record lets you add a task, reassign who's responsible, or remove a task at any time — not just at check-in. Removed tasks are marked Cancelled and kept in the history, so nothing quietly disappears.

Ready for Photos

When a car needs marketing photos, you can now say whether it's ready to shoot now or not yet, and note where the car and keys are. The team gets a message in the #photos channel — including when a "not yet" car is later marked ready.

Find a car without the VIN

On the check-in screen you can now Look Up by Make & Model or by Owner Name. Pick from the list and go straight into check-in, check-out, or return — whatever fits the car's status.

Two new dashboard tabs

Photos Needed shows every car waiting on marketing photos (with a Ready / Not-yet badge), and Open Concierge shows every car with concierge work still in progress. A car leaves each list automatically once the work is done.

Members can add their own cars

When a member adds a vehicle to their online garage, it waits as "member-added." When staff scan that VIN, the check-in screen recognizes it, pre-fills the member as the owner, and updates their record instead of creating a duplicate.

Work stays with a car that leaves for service

If a car is checked out for service, detailing, or a photo shoot, its scope of work stays visible and editable — and the car still shows in Open Concierge — until the visit is truly finished. You can keep updating tasks while it's away.

Edit any record with the key

The Edit Record button is now always available on a vehicle's detail view. Enter the security key once, and you stay unlocked for the rest of your session — no need to flip on admin mode first.

"Access photos here" on the card

Once marketing photos are done and the hosting link is added, the car's card shows an Access photos here link so anyone can jump straight to them.

Sort by newest check-ins

A new sort option puts the most recent check-ins first, alongside the existing sorts.

A reminder: video works too

Check-in and check-out accept a walkaround video in place of photos — handy when a quick clip captures a car's condition better than stills.

Scope of work no longer disappears after check-out

A car's list of concierge tasks used to vanish from its card once it was checked out. It now stays put for the whole visit.

Marketing-photo details are preserved when editing work

Editing a car's concierge tasks no longer wipes its marketing-photo type, assignee, or hosting link.

Heads-up: some of these updates depend on how a car was checked in. If a vehicle is missing its "Why Here" reason or scope of work, re-check it in (or use Edit Record) to fill in the details.
